Fitness for purpose
Our exhibition is a presentation of images representing 'The Steel City'. The event is for all ages as the content is suitable for all. However the audience will mainly take up of students and teachers. The exhibition is planned to make it very clear what it is so all audiences would have a level of understanding.
The work is shown at UTC Sheffield during Design Week in Sheffield June 23-29
The event had suitable content that would be appropriate for the target audience as we have taken images from our current work and built the event around them using work from unit 31 & 32, both were themes of Sheffield/steel city. The target audience being specifically students we included our work, making it suitable.
To clearly segregate the work so that you knew what was 31 and 32 the images were divided into two videos for 31 showing photography and one for 32 showing steel city advertisement. This way it is clear and delivers the messages of representing the steel city.
The presentation was fit for purpose as it presented the intend work to be displayed in an entertaining format that represented our theme suitably. The events purpose was to show 10-20 images that represent the 'Steel City'.
We used images from our work being Unit 32 - a unit that advertises a fictional concert, this represent 'Steel City' as it was designed to follow that using various graphical techniques. The other selection of images was from Unit 31 - this was a unit that required 10 images that represent 'Creative and digital Sheffield'. This links to our theme as it still represents a part of Sheffield. The work was then put together into two suitable videos this meant that it was a higher level of presentation rather than a dull PowerPoint. This meant it was fit for purpose as it is a format that is entertaining and something that was not done in other presentations.
Our presentation showed showed basic skill in video editing. Which would be suitable for employers. We showed off our work from previous units making it suitable for parents and teachers.
Process followed
We followed the gantts chart created at the beginning of the unit. As this is a suitable and effective method of planning with little room for error.
During this period I have worked with one other person who worked on the rest of the roles. We divided the roles so that we could individually work on the area without needing to be together. This meant that we could work on the unit without been together meaning that we could create the unit quickly and effectively without any excuse for delay. There were periods where we have worked together in the same room so that we could feedback to each other and improve upon our individual work and roles. We also used e-mail to constantly update work progress.
We selected the images of 32 by including all the work we had for unit 32 as it ranged from around 7-10 images. 31 work however required more methodical selection. The images were selected based on whether they meet the theme, the general quality of the image and the time of day it was taken. As when putting this together they were arranged to look like the images are taking place during one day and is going from day to night.
We left out any images that were not suitable for our audience not of a high standard or did not follow the theme, so we instantly discarded any blurred images or ones taken from obscure angles.
Before presenting the exhibition we did a brief practice by reading out a script we had printed off. The videos were stored on owncloud so that we could access the video from any computer we made sure they were a compatible file type. This was all arranged during the planning and was a simple since we did not need any paperwork to hand out.

I planned all these to make sure everything was suitable taking on all these roles meant that I definitely knew that all the work was done and correct and did not have to check with my colleague that these were done.

My roles meant that I could do the majority of the actual creating as that is where my skill is. As I did the most planning this meant that I had to keep Bill updated and constantly sent e-mails with updated documents to make sure it was clear what he had to do.

Bill took these roles as they did not require much time and could be completed quickly to a high standard. It also meant that he did not need any of the other documents to complete these as they are mostly separate to my roles
These were my individual roles in preparations, I did most of the paper work and behind the scenes planning rather than layout and general theme.
Strengths of presentation
- It was a quick presentation that didn't drag on. The first video was 1 minute 30 and the second was 3 minutes 40. Meaning that the overall presentation lasted roughly 7 minutes as we gave a short introduction at the beginning. The overall time being under 10 minutes means that the audience are not bored or waiting and do not have to think/listen much as they are videos rather than 10 minutes of a slideshow.
- There was a introduction so the audience knew what to look for and expect. We gave a short speech at the beginning (in planning doc) this gave the audience a general idea before the video is played so they are not confused by what they are seeing and have a understanding of what to expect.
- We played videos with music, these were more interesting than us speaking. The videos did not contain speech and the music was selected to be calming music (that is not copyrighted), this gives a relaxing feel to the presentation. A short speech at the beginning meant that there was a brief introduction so it is not all silent and there is some communication with the audience.
- My own contribution was a strength in itself based on the fact there was two of us we managed to build an effective event. My contribution meant that the main paperwork and planning was completed swiftly.
Weakness
- We did not interact with the audience much. By this we did not print the images out and show them to the audience where they could view them at their leisure. We could have had more interactivity like asking the audience what their favorite image was etc.
- A weakness I have to say on my part was my general performance in giving a speech, I let the team down in this area. I should have been clearer in my speech as I often made mistakes and confusion when trying to explain. However we got the general message across and my colleagues performance was good enough to save mine.
- The feedback's main negative point was the duration of the videos, the second video been around 3 minutes was probably a little to long. Next time I would make sure it is shorter in length. This point is a fair point and is understood as a fault.
Feedback
Overall the
feedback was very positive with 100% yes for enjoyment and the message
of the presentation, with responses to favorite parts that all had
constructive and variety in comment.
There was a comment on the music and on one-particular image which proves the audience were paying attention and had enjoyed aspects of the presentation, proving its fitness for purpose.
A strength of our event was "The part with the music". This was one comment this shows that the music selected was effective, as expected using calming music was a suitable choice.
The
only negative feedback was the duration of the video with few responses
saying it could be shorter. Which is reasonable baring in mind it
takes up most of the presentation at a overall 5 minutes.

Appeal to the audience
Our guests were students from out class, the teachers and some members of staff. The exhibition content appealed to audience by showing relevant content and also suitable music. this would be seen as competition to some members of the audience this can be shown as entertainment based on the quality of our work and theirs. From our feedback it is clear the music was one of the strongest appeals.
This content is interesting as proven by the feedback. As part of the unit we had to research some exhibitions this helped plan our exhibition.
What would I do different in the future?
This feedback shows how successful the overall presentation was. In future I would follow the same step and pre-cautions. However I would chose a bigger theme with more potential in future and include more interaction between the audience and us, possibly something like a quiz. Also next time a larger team would be great allowing us to cover more areas.
